At the Australia exhibition in February 2024, HolidayPac obtained a potential client’s business card. The client primarily deals in disposable paper cups, coffee cups, and disposable food packaging, and owns a local printing production line, demonstrating their expertise in the printing industry.

 

 

Initial Contact


The goal of the first contact was to introduce ourselves and gauge the client’s interest. We sent an initial email briefly introducing our products and services while inquiring about the client’s specific needs. The client responded quickly, expressing interest and requesting a product catalog and production timeline.

 

 

 

 

Requirement Confirmation and Quotation


After preliminary communication, the client outlined specific requirements for the sidekicks project and requested sea and air freight costs. We responded promptly, providing a quotation on the same day. After calculating freight costs, we prepared an estimated packing list and freight charges for different quantities for the client’s reference. This approach had proven effective with previous clients.

 

 

 

Follow-Up Strategy


After sending the quotation, we noticed the client did not respond promptly. Therefore, we decided to follow up, inquiring when they would proceed to the next step. At this stage, the follow-up content was relatively straightforward, but we maintained a proactive and positive communication attitude.

In May, the client sent new sidekicks requirements, similar to the previous project but with different dimensions. After confirming the load-bearing requirements, we promptly provided a new quotation, including an estimated packing list and freight costs. This meticulous service demonstrated our professionalism to the client.

 

 

Ongoing Project Collaboration


The client was satisfied with the new quotation and requested a die-cut layout for the sidekicks. Considering the potential for ongoing projects with this client, we proactively applied for die-cut design. After the client completed the design, they sent us the die-cut layout and requested samples.

 

 

Sample Fees and Order Confirmation


In our response, we informed the client about the sample fees and asked whether they needed a sample invoice or if they could confirm the order. This communication approach not only facilitated the client’s decision-making but also laid the foundation for future collaboration.
